Speaker Preparation Information
Everything you need to deliver a confident, polished presentation at the New Zealand Audiological Society Annual Conference.
Registration
All presenters must be registered for the full conference, or at minimum for the day on which they are presenting. Please confirm your registration status before the event.
Review the full conference programme carefully and note the date, time, and room for your session.
Presenter Guidelines & Slide Format
All presentations must use 16:9 Widescreen format and the provided PowerPoint template. Please keep your content focused on your paper submission and avoid any commercial or promotional material.
🎞 Limit Your Slides
Aim for no more than one slide per minute. Use fewer if your content is complex.
👁 Keep It Legible
Large fonts, clean layouts. Audience members may view on small screens — don't crowd your slides.
🎨 Visual Quality
Use high-quality graphics and minimal text. Slides reinforce your message — your voice carries it.
🎬 Video Content
You may embed videos in slides. Also bring a separate .mp4 backup file in case of embed issues.
⏱ Timing
Prepare your talk to fit the allocated time, including audience Q&A at the end.
🎤 Practice Aloud
Run through your presentation with a timer before the day. This catches pacing issues early.
What's Available in the Presentation Room
Te Pae Christchurch is equipped with state-of-the-art AV technology. As a presenter, the following will be available to you:
Data projector and large screen in every session room.
Lectern microphone plus a handheld mic shared among presenters in the session.
A clicker/remote will be provided to advance your slides from the lectern or stage.
All rooms at Te Pae are fitted with hearing loop technology for delegates who need it.
Internet access will be available for presenters and delegates throughout the venue.
A chair will be present to introduce you, support you on stage, and manage timekeeping.
A technician is available across rooms if you need last-minute AV assistance.

Upload Your Presentation Slides
Once your slides are finalised, please upload them via the AV portal so they can be transferred to the audio visual team at Te Pae ahead of your session.
The upload link will be added closer to the conference date. Watch for an email from the organising team with instructions.
💡 Tip: Also bring a backup copy on a USB drive on the day, just in case.

Getting to Te Pae
Christchurch Airport is approximately 20 minutes by car or taxi from the venue.
Metro buses serve the central city. The venue is a short walk from the main bus interchange.
Several public car parks are located nearby in the central city. The venue does not have its own parking.
Over 2,000 accommodation rooms are within a 4–5 minute walk of Te Pae — ideal for conference delegates.

Presenter Tips & Best Practices
1. Limit the Number of Slides
Aim for no more than one slide per minute of your presentation.
Use fewer slides if your content is complex or requires more explanation.
2. Ensure Slide Legibility
Just a reminder to please keep your presentation focused on your paper submission, and avoid including any commercial content or promotion.
Keep slides clean, simple, and easy to read.
Avoid small fonts and cluttered visuals—especially since your audience may be viewing on small screens (phones, tablets, etc.).
Use concise bullet points to highlight key findings.
3. Design Visually Appealing Slides
Use high-quality graphics and minimal text.
Slides should support your verbal presentation—not replace it.
Let your narration carry the message; your slides should reinforce key points.
4. Video Content
You may embed videos directly into your slides.
However, we strongly recommend also providing separate .mp4 video files as a backup.
What’s Available to you as a Presenter in the Room
What’s Available to you as a Presenter in the Room
As a presenter, the following equipment and support will be available in the room:
Audio Visual: Data projector and screen, lectern with microphone, and a handheld microphone (this can be shared amongst presenters), as well as a clicker to advance your slide.
Internet Access: Wi-fi will be available for presenters and delegates.
Support Staff: A session chair will be onsite to support you and provide time keeping support.
Technical Support: A technical support person (shared amongst rooms) will be available if you should require assistance.

Once you have created your presentation slides / PowerPoint, please upload it here to be transferred to the audio visual team.

Conference Presenter Checklist
Before the Event

Prepare your talk to fit the allocated time, including Q&A
Practice your presentation aloud (ideally with a timer)
On the Day
Arrive at least 15 minutes before your session
Check in with the AV team and session chair
Ensure your presentation is correctly loaded and working
Bring any notes, props as needed
Have a glass of water ready
Speak clearly and keep an eye on the time
Engage with the audience – eye contact, body language, pauses
Stay for Q&A if applicable
